Park Guidelines

Terms & conditions

By making a booking at Big4 Port Douglas Glengarry Holiday Park you are agreeing to abide by the terms and conditions outlined below.

Bookings:

  • While we do our best, we cannot guarantee a specific site or cabin location, including adjacent sites for group bookings or whether you a recieve slab or grass site.
  • Guests are responsible for checking all booking details.
  • Those named on the booking are responsible for all persons on site during their stay, including visitors.
  • All reservations require a deposit to be paid at the time of the reservation, minimum deposit payable is equal to two night’s stay, or in the case of a single night the full amount is payable.
  • Cabins and villas booked over the Christmas/New Year peak period will require a further payment of 50% of the remainder amount owed, one month prior to scheduled arrival

Check-in:

  • Sites – check-in: From 11am.
  • Ensuite sites- check-in:  From 11am however, ensuites may not be ready until 2pm.
  • Cabins/Villas – check-in: From 2pm.
  • If you require any variations to check-in times please enquire at reception, subject to availability.
  • Please visit the caravan park office reception on first arrival and provide your booking details, confirm the number of people in your party and any other information, as requested by our customer service team
  • Office hours are 8am-6pm (or 9am to 5pm in low season).  If you are arriving outside these hours, please call and arrange access for keys and site allocations. This will only be allowed for prepaid bookings.

Check-out:

  • All rooms and sites are to be vacated by 10am on the day of your departure. If you require any variations to check-out time please enquire at reception, subject to availability.
  • If you are in a cabin or villa and are checking out before reception opens, please place your keys in the key box outside of reception before you depart.
  • If you would like to extend your stay, please see reception at the latest before 10am on the day of your departure. Subject to availability.

Cancellations:

  • To make a cancellation please call reception and ensure you speak to a receptionist.
  • When refunds are applicable (depending on season) they may take the form of either a refund of payment less a $50 administration fee or the payment will be placed in credit which can be transferred to a future booking to be used within two years.
  • All refunds are at the discretion of management.


    LOW SEASON (Mid Jan-April and Oct- Mid Dec)

  • Deposits for VILLAS/CABINS will only be refunded if notified within a week of scheduled arrival or if accommodation is rebooked. If you cancel after this time, refund will be at discretion of management.
  • Deposits for SITES will only be refunded if we are notified of your cancellation BEFORE 9 am on the day PRIOR to your scheduled arrival.  If you cancel after this time, refund will be at discretion of management.


    MID SEASON (April-June)

  • Deposits for VILLAS/CABINS will only be refunded if you notify us of your cancellation at least 30 days PRIOR to your scheduled arrival date.  LESS than 30 days’ notice of cancellation, your deposit will only be refunded if the category of cabin or villa booked can be resold for the length of your booking. If you cancel after this time, refund will be at discretion of management.
  • Deposits for SITES will only be refunded if we are notified of your cancellation at least 5 days PRIOR to your scheduled arrival date. LESS than 5 days’ notice of cancellation, your deposit will only be refunded if the site booked can be resold for the length of your booking. If you cancel after this time, refund will be at discretion of management.


    HIGH SEASON (June-Sept, and Christmas/New Year and Easter)

  • Deposits for VILLAS/CABINS will only be refunded if you notify us of your cancellation at least 60 days PRIOR to your scheduled arrival date.  LESS than 60 days’ notice of cancellation, your deposit will only be refunded if the category of cabin or villa booked can be resold for the length of your booking. If you cancel after this time, refund will be at discretion of management.
  • Deposits for SITES will only be refunded if we are notified of your cancellation at least 30 days PRIOR to your scheduled arrival date. LESS than 30 days’ notice of cancellation, your deposit will only be refunded if the site booked can be resold for the length of your booking. If you cancel after this time, refund will be at discretion of management.

  • No credit or refund will be available for early departures or cancellations once arrived.
  • Cancellation policies for third party bookings may vary due to the specific booking agent. Please check the specific cancellation policy included in the terms and conditions of the booking agent.
  • Failure to arrive within 24 hours of booked arrival date will result in the forfeit or deposit paid.

Children:

  • Infants aged 2 years & under stay free of charge.
  • Children are classed as aged between 3 and 17 years (if accompanied by a parent/Gaudian).
  • All Children under 18 must be accompanied by an adult in the waterpark/pool area at all times.

Villa/Cabin/Site conditions:

  • ALL VILLAS/CABINS ARE NON-SMOKING.  Ashtrays are provided outside villas/cabins.  Anyone found smoking inside villas/cabins will be charged an extra cleaning fee and if they continue to do so they will be asked to leave.
  • Villas/cabins sleep between 2-9 persons (including children & infants) depending on the style of villa/cabin.

Guests:

  • Guests are expected to behave in a manner that is respectful of other visitors.
  • We ask guests to limit excessive noise between 10pm and 8am as a courtesy to other guests.
  • Management reserves the right to evict patrons from the park who are deemed to be behaving in a socially unacceptable manner, causing damage, disturbing guests, using unacceptable language or are in breach of any other park rules.  All monies will be forfeited.

Visitors:

  • All Visitors must report to reception, where they will be instructed on where they can park.
  • Visitors are most welcome; however they are your sole responsibility.
  • It is your responsibility to ensure they abide by park rules.
  • Visitors must vacate the park by 10pm.
  • Visitors must pay a for a day pass to enter the pool/waterpark area. They must complete a waiver and collect a wrist band.


    Waterpark:

  • Any person (or parent/gardian on behalf of child) who uses the waterpark area must sign the guest agreement form upon check-in agreeing to abide by all pool/waterpark rules assuming responsibility for yourself and children at all times. All children (3-17 yrs) staying in the park must wear a wristband. All day pass visitor must wear a wristband. Children must be supervised by an adult at all times.


    Damage/Loss:

  • Please notify the reception of any damages.
  • All registered guests shall be liable for any loss or damage to the appliances, furniture, keys, fixtures and fittings in the accommodation – normal wear and tear excluded.
  • A fee may be charged if excessive cleaning is required after departure.
  • BIG4 Port Douglas Glengarry Holiday Park takes no responsibility for the loss or damage of any personal items.
  • Please lock up accommodation, vehicles, bikes etc. and any valuables are secure, especially at night.
  • Thoroughly check villas/cabins and amenities on departure as perishable items will be disposed of and non-consumables will only be held for 3 months.
